Our team is growing, and we have an exciting opportunity for an outgoing and ambitious individual to join our team at Clanwilliam UK, as an Administrative Assistant for a 12-month Maternity Cover position. Your primary role will involve providing administrative support to the Finance, People & Culture and Sales Departments.

Responsibilities
- Provide administrative support to Finance, People & Culture and Sales teams.
- Collate monthly Management and Sales department presentations and reports.
- Manage and coordinate delivery/collection of work equipment to/from new starters/leavers across the Clanwilliam UK entities. Manage renewals and cancellations of employee mobile phone accounts.
- Coordinate orders for office supplies/stationery/equipment as needed.
- Keep a record of Dictate IT monthly employee expenses.
- Assist in organising/scheduling Teams or Face to Face interviews with candidates during our recruitment process.
- Assist with booking train/flight tickets and hotels for staff, as needed.
- Use a range of office software, including email, spread sheets and databases.
- Handle sensitive information in a confidential manner.
- Work with the People and Culture Manager to coordinate employee events and divisional meetings.
- Booking of meeting rooms as required, coordinate access to our London office building with the regular key holders, organize team lunches.
- Take external calls on the main Dictate IT line, advise callers and take messages.
- Draft letters, reports, and other business documents as required.
- Coordinate internal meetings and take minutes as required.
- Prepare and send out new customer packages (contract, direct debit mandates, etc) and follow up for signature as requested.
- Collate customer direct debit mandates and assist in the preparation of monthly payments.
- Work with Finance to support customer billing by ensuring customer information is correct/reconciled and calculate pro-rata invoice values where applicable.
- Support credit control processes for our Primary Care customers.
- Manage the renewal process of existing customer contracts by sending out renewal packages.
- Support in maintaining customer lists and CRM.
- Field emails into the sales inbox and respond/manage where possible.
- Support the People and Culture, Finance and Sales teams with ad hoc administrative tasks as required.
Person specification:
Experience
- Competent using Microsoft Office including Word, Excel, PowerPoint and Outlook
- Ability to manage own workload and priorities and to able to work to deadlines
- Strong attention to detail
- Strong organisational and planning skills
- Excellent written and verbal communication skills
- 1+ years’ experience in dealing with emails, calls and face to face enquiries in a busy office environment
- Experience of working with changing priorities and performing under pressure
- Educated to degree level or equivalent
