Salary: ₦150,000 to ₦250,000

About the Role

Administrative assistants play a crucial role in ensuring the efficient operation of the office by providing daily support, managing paperwork, and handling data. Strong organizational, communication, and problem-solving skills are essential for supporting the sales team and maintaining effective communication between the company and external partners.

Main Duties

Daily Administrative Support:

  • Responsible for handling the company’s daily administrative affairs, including answering the phone, handling emails, receiving visitors, etc.
  • Maintain office order and cleanliness, and manage the purchase and distribution of office supplies.
  • Arrange and coordinate meetings, travel and other activities.

Clerical Work:

  • Write and edit letters, reports, meeting minutes and other clerical materials.
  • Manage and archive company documents to ensure the accuracy and confidentiality of information.

Data Management:

  • Update and maintain the company database to ensure the accuracy of customer and supplier information.
  • Assist in preparing sales reports and other analytical data.

Communication and Coordination:

  • Serve as a communication bridge between various departments within the company and external customers and suppliers.
  • Handle and follow up on customer and supplier inquiries and complaints to ensure timely response and resolution of problems.

Support the Sales Team:

  • Assist the sales team in preparing sales materials, presentations, and promotional materials.
  • Assist in arranging sales training courses and managing student registration and feedback.

Other Administrative Affairs:

  • Complete other tasks assigned by managers and other senior management as needed.

Qualifications

  • Diploma or degree in administration, business management or related fields.
  • At least 1-2 years of relevant work experience, experience in sales or service companies is preferred.
  • Proficiency in office software (such as Microsoft Office suite).
  • Good organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficient in problem-solving and able to work efficiently under pressure.
  • Fluent in English, and basic Swahili skills will be a plus.
  • Careful, detail-oriented, with a high sense of responsibility and professional ethics.
  • Teamwork spirit, proactive, and willing to accept challenges.
  • Ability to multitask in a fast-changing work environment and provide efficient support to promote the smooth progress of company sales and daily operations.
