Brake, the national road safety charity, is seeking an experienced Administrative Assistant to join its team on a remote, part-time basis (21.75 hours per week / 3 days). About the Role
Job description – Administrative assistant
Hours: 21.75 hours per week (equivalent to 3 days) worked between 8am-6pm, with Friday to be one of your working days
Contract length: Fixed term until October 2026
Salary: £15,000 (£25,000 FTE)
Working pattern: Remote working with very occasional travel required
Reporting to: Operations manager (maternity cover)
Team: Operations team
The Operations team’s purpose is to ensure that the whole Brake team has the infrastructure in place to do their jobs efficiently, safely and with their wellbeing supported. This is a broad remit which encompasses I.T, systems,
Recruitment, onboarding, governance, compliance and travel, amongst other things. The administrative assistant will efficiently support the operations team towards achieving this purpose.
Key responsibilities of the role
Recruitment admin
Working with the operations manager (maternity cover) to ensure Brake’s recruitment processes fill resourcing gaps promptly, the process is fair, provide a positive candidate experience and is delivered in line with Brake’s relevant policies and procedures.
Including:
- Advertising vacancies on proven platforms
- Seeking out new avenues to boost applications if required
- Processing job applications, saving to Sharepoint
- Promptly responding to queries in the recruitment inbox
- Responding to all applications in a timely manner
- Carrying out screening calls with suitable candidates
- Scheduling interviews
- Drafting accurate HR documentation such as employment contracts and job offers
Other admin
- Managing the general ‘admin’ inbox, ensuring messages and voicemails are promptly forwarded to the correct team
- Handling subject access requests, ensuring they are completed accurately and on time, prompting colleagues to complete their tasks where necessary
- Booking hotel or travel requirements in line with Brake’s policies, always with an eye on cost effectiveness
- Ad-hoc purchasing, ensuring financial transactions are logged in accordance with the Finance team’s processes
- Completing Donorfy admin tasks to contribute towards maintaining clean data with the CRM.

- Other ad-hoc duties as defined by the operations manager (maternity cover)
Vetting
- Basic level DBS is required
- Employees are subject to driver licence checks
Person Specification – Skills and Attributes
Experience and skills
Essential
- Must be UK based.
- At least 2 years of administrative experience.
- Experience working in the UK charity sector.
- Excellent organisational skills with the ability to prioritise a varied workload, working both proactively and reactively when required.
- Meticulous attention to detail and collaborative approach.
- Confidence and competence in utilising modern office, communications and IT skills in the Microsoft Office Suite.
- Works with discretion and complete integrity when handling sensitive information.
- Self-motivated to work remotely.
- Has strong interpersonal skills. Establishes straightforward and positive relationships with people and is a team player.
Desirable
- Proficiency with Donorfy CRM, Slack, Sharepoint sites and Monday.com (training will be provided if not)
- Previous exposure to recruitment.
- Experience preparing accurate HR documentation.
- Good knowledge of GDPR compliance and data protection best practice.
