About the Role

Purpose of the role:

To provide administrative assistance to school Governing Boards nationwide, via a remote service. Supporting school Governing Boards with the preparation of meeting papers and producing minutes, from a recording, via an automated process using AI technology.

Responsibilities

Administration:

  • Join a short online meeting with Head and Chair of each school ahead of a meeting to agree draft agenda for meeting
  • Collate paperwork for meeting and upload to GVO platform minimum 7 days before a meeting and share with Governors
  • Follow agreed process to produce draft minutes within 5 days of meeting taking place, using AI technology to assist (significantly reducing time taken!)
  • Share draft minutes with key stakeholders for input and amends, before finalising and uploading to GVO platform
  • Ensuring all meeting dates are agreed and in GVO calendar
  • Ensuring Governor records and kept updated and correct on GVO platform
  • Maintaining a systematic and organised online filing system
  • Be able to access to appropriate legal advice, support and guidance via wider GVO team

Person Specification:

  • Experienced administrator with excellent Word and general IT skills
  • High attention to detail and able to work independently to meet deadlines
  • Good organisation skills to work to agreed timescales
  • An interest in online systems and willingness to develop skills in this area, including the use of AI (no prior experience necessary!)
  • Experience and knowledge of school administration/Governance an advantage
