The Role
This role is to provide administrative support to 2 senior executives in the GB and Global Specialty Executive team, as well as to provide team support, to their respective teams. The teams are central teams, operating at a senior level, and working across Sales and Client Management, Strategy and Business Development, and Learning and Development. The combined teams consist of appr. 12-15 professionals (NB: not all colleagues within the department will require assistance).
Responsibilities include:
- Support Head of Strategy and Business Development, and Global Specialty/GB CRB Growth Leader, with executive assistance:
- Manage diaries, including scheduling and prioritization of meetings
- Coordinate and plan internal and external meetings, including the registration of visitors, and visitor passes. Minute taking at meetings, where required.
- Prepare meeting agendas, briefing papers & presentations with key action points and priorities highlighted
- Arrange travel plans, including booking of flights and hotels, as well as itineraries
- Manage expense administration
On a wider basis, across the team:
- Schedule and organize team meetings
- Support onboarding process for new joiners
- Help organize logistics around Learning and Development events, including room bookings, catering, booking of key speakers, attendee and line manager communication
- Process any new invoices, and manage registration of new vendors
- Support with internal communications (eg distribution list management and intranet page development/upkeep)
- Support on select client event management
- Organize socials and networking events, linked to our Learning and Development programs
- Support pre-boarding for our annual internship program
- Assist with IT issues when requested
- Any other duties as reasonably required
The Requirements
- Demonstrated secretarial experience preferably in a large corporate environment
- Ability to work under pressure with tight deadlines
- Ability to solve problems and handle last minute changes
- Ability to communicate effectively with Senior Management & key stakeholders, keeping them efficiently up to date
- Ability to handle sensitive information and maintain confidentiality at all times
- Experience with diary management, including complex travel arrangements
- Moderate PowerPoint & Excel skills
- Fully conversant with Microsoft Outlook and Word
- Highly organized and efficient
- Able to work collaboratively
