Salary: £15 to £22 an hour

About the Role

We are seeking an Executive Assistant to provide high-level administrative support to our senior management team & other VA colleagues. The ideal candidate will be highly organised, detail-oriented, and proficient in office management tasks.

Main Duties

  • Managing executives’ diaries and arranging meetings
  • Maintain and update sourcing contacts on Podio CRM
  • Continue to improve and edit our existing internal sourcing processes
  • Phone / email engagements with agents and property sourcers
  • Handling phone calls and email correspondence
  • Conducting data entry and maintaining electronic files
  • Assisting in preparing reports and presentations
  • Update & document users guide
  • Manage & work with other Vas
  • Coordinating travel arrangements and accommodation bookings
  • Utilising & managing Google Suite for scheduling and document management
  • Ensuring efficient office operations by implementing and maintaining procedures
  • Assisting with QuickBooks entries and reconciliations

Qualifications

  • Self starter, leader and organiser
  • Proficient in Microsoft Office applications, particularly Word, Excel, and Outlook
  • Strong organisational skills with the ability to prioritise tasks effectively
  • Excellent phone etiquette and communication skills
  • Previous experience in an administrative role is advantageous
  • Understanding of UK’s Companies House
  • Understanding of UK’s property market
  • Understanding of Docmail
  • Understanding of Mailchimp
  • Understanding of Podio
