Job summary
We are looking for a responsible part-time Administrative Assistant to perform a variety of administrative tasks. Tasks include providing support to our staff, practical advice to our members, assisting in daily office needs, and managing general administrative activities.
Working under the direction and oversight of the Administrative Manager, Administrative Assistant responsibilities include responding to and managing a high volume of emails; making meeting arrangements; maintaining appropriate electronic filing systems; updating enquiry records and preparing enquiry briefings. The ideal candidate should have excellent oral and written communication skills and be able to organise their work using tools like Google Workspace, MS Word, and MS Excel.
If you also have previous experience as a Secretary, Personal Assistant or Executive Administrative Assistant and familiarity within our industry, we’d especially like to meet you.
Ultimately, the successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our virtual office.
Key responsibilities
- Answer, direct and file emails.
- Organise and schedule meetings.
- Write and distribute email, letters, and forms.
- Maintain and develop our Google Workspace filing system.
- Maintain member lists, enquiry records and member details
- Provide general practical support to members.
- Act as the point of contact for internal staff, union members and external employers.
Essential capabilities and skills
- Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
- Knowledge of office management systems and procedures.
- Proficiency in Google Workspace and MS Office (MS Word and MS Excel, in particular).
- Excellent time management skills and the ability to prioritise work.
- Attention to detail and problem-solving skills.
- Excellent writing skills including good grammar, spelling, and punctuation.
- Excellent verbal communication skills.
- Strong organisational skills with the ability to multi-task.
- Good Wi-Fi and your own computer or laptop with camera.
Preferred capabilities and skills
- Experience of working with payment systems (e.g. Stripe).
- Experience of working with Client Management Systems.
- Proficiency in MS Excel including charts, basic formulas like SUM, AVERAGE, and VLOOKUP, and advanced functions like COUNTIF, SUMIF, and pivot tables.
- Experience of Facebook Admin managing a Facebook group or page.
- Experience of distributing newsletters to clients, maintaining large client lists and monitoring/reporting on engagement activity.
- Experience of producing and developing organisational statistics.

- GCSE or equivalent
