About the Role

We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our team and programmes. You will work 12 hours per week. These will usually be completed between 09:00 and 17:00 and we will agree your working pattern at the start of your employment. You will be paid the Living Wage (hourly rate UK wide £12.60; London £13.85). We are a virtual organisation and so you will work from home – we have budget to enable you to access a co-working space if this is preferred. This means that we’re open to applications from anywhere in the UK.

IHAV is a Community Interest Company that empowers people, particularly young people from under-represented groups, to engage with politics. We do this by providing education on the political system, supporting social action projects and through our careers programme.

Responsibilities

  • Organise events and meetings: We host events throughout the year, both in-person and online, you will organise speakers, venues and manage RSVPs. You will also be responsible for promoting our events to our network.
  • Manage our CRM: We work with a wide range of people and organisations. You’ll help to make sure that our contacts are kept up to date and use our CRM to send updates to our community.
  • Lead the day-to-day management of our mentoring scheme: We have over 100 mentors and mentees. You will ensure that they’re meeting regularly and manage our sign-up and matching process.
  • Contribute to our communications strategy: By designing and developing engaging content for our newsletter, social media and website; and analysing the impact of our communications.
  • Assist with monitoring and evaluation of our programmes: By collating feedback from participants, analysing trends and creating case studies.
  • Assist in the preparation of reports and presentations using Google Suite and Office applications
  • Maintain filing systems and ensure all documents are organised and easily accessible
  • Collaborate with team members to support various projects and initiatives

Requirements

  • Proficiency in Google Suite and Microsoft Office applications
  • Strong administrative skills with a keen attention to detail
  • Outstanding organisational skills to manage multiple priorities effectively
  • Strong verbal and written communication skills
  • Self-starter with initiative
