Pure Insights International is seeking a part-time Finance Assistant to join our dynamic team.
This role is initially for 15 Hours per week 9 am – 12 pm over weekday mornings with the potential to increase.
Responsibilities
As a Finance Assistant, you will play a crucial role in maintaining the financial integrity of our company by managing key accounting and bookkeeping functions. Your primary responsibilities will include:
Payroll and Financial Transactions
- Processing payroll, ensuring accuracy.
- Recording and maintaining financial transactions in compliance with company policies.
- Managing staff timesheets
Accounts Payable and Receivable
- Handling accounts payable and receivable, including the creation and processing of provider invoices.
- Managing receivables to ensure adherence to payment terms.
Invoicing and Monthly Reporting
- Preparing and issuing monthly invoices, ensuring accuracy and compliance with agreements.
- Producing proformas for PO numbers to facilitate the invoicing process.
Banking and Reconciliation
- Recording cash receipts and reconciling company bank accounts.
Taxation and Reporting
- Preparing VAT returns for review and submission by the company accountants.
- Compiling and providing information required by accountants or external auditors.
Record Keeping and Compliance
- Maintaining company ledgers and ensuring financial records are up to date.
- Filing historical financial records and retrieving documents as needed.
Additional Duties
- Monitoring and ensuring timely payment of regular bills.
- Maintaining the finance spreadsheet and forecasts, ensuring they are up to date, and holding regular meetings with the CEO to review and discuss financial insights.
- Supporting management with designated bookkeeping duties as required.
- Assisting with ad-hoc tasks or projects related to financial administration.
- Employee expenses
Key Skills and Qualifications:
- Proven experience as a Finance Assistant.
- Proven experience in issuing invoices and proformas.
- Proficiency in Xero accounting software and Microsoft Excel is essential.
- Strong attention to detail with excellent organisational skills.
- Ability to manage multiple tasks and meet deadlines efficiently.
- In-depth knowledge of VAT processes and payroll management.
- Excellent communication skills for collaborating with team members and external stakeholders.
