We are looking for a dependable and highly organised Part-Time Personal Assistant to support the day-to-day operations of our construction business. This role involves handling client information, updating job records, assisting with bookkeeping tasks, and coordinating subcontractor documentation. The ideal candidate will be confident using digital tools and software or willing to learn quickly.
Key Duties
Client & Job Coordination
- Record new client enquiries and update job information within company systems.
- Maintain regular communication with clients to provide updates and ensure smooth project progress.
- Handle general enquiries and assist with scheduling or follow-up tasks as needed.
- Inserting meeting with clients into our diary
Bookkeeping & Financial Support
- Use Xero to carry out bank reconciliations, raise invoices, and manage purchase and sales entries.
- Process supplier invoices and payments and monitor any outstanding balances.
- Manage materials and supplier records using Simpro, ensuring accurate data entry and tracking.
Subcontractor Administration
- Issue and manage subcontractor purchase orders and compare them against time submitted.
- Maintain subcontractor information and ensure compliance with company procedures.
General Administration
- Organise and file all work-related documents, keeping digital and physical records up to date.
- Maintain company training records, including monitoring renewals and compliance deadlines.
- Provide general administrative assistance to ensure efficient daily operations.
