About Fednet

Waltham Forest Federated GP Network (FedNet) was established in July 2014 when GPs in Waltham Forest decided to federate, working collaboratively and sharing resources to enhance the range of services available to local residents.

While patients remain registered with their individual GP practices, they can access enhanced services, including Saturday and evening GP appointments, through other practices within the FedNet network.

To support our ongoing service expansion and operational demands, we are now seeking a highly motivated Project Support Administrator to join our team. This role will be instrumental in ensuring the smooth delivery of key NHS projects and services, providing essential administrative and operational support.

Job Purpose

  • The Project Support Administrator will play a crucial role in supporting the operational delivery of NHS projects, ensuring the seamless coordination of Primary Care Enhanced Access Services, Out-of-Hours services, and other contractual obligations. The post holder will be responsible for administrative support, project coordination, and maintaining effective communication with stakeholders to enhance service quality and efficiency.
  • The Project Support Administrator will play vital role in ensuring the day-to-day running of the services. Utilising in-depth service knowledge, they will be aware of and anticipate legislative and operating developments, with a view to translating these into tangible business deliverables. They will be responsible for ensuring that effective methods are put into place for their service to operate efficiently, delivering a high-quality service to all patients.
  • The ideal candidate must be highly organised, adaptable, able to work full time, rotational shifts (Weekdays, Evenings and Weekends, and provide cross-cover where needed to ensure seamless operational delivery. Additionally, the post holder will be expected to support other NHS projects as required.
  • This role demands a highly organised and proactive individual who can work flexibly in a fast-paced healthcare environment. The post holder must be able to manage competing priorities, provide excellent administrative support, and contribute to service development initiatives.

Main Duties

Project Support & Administration

  • Provide comprehensive administrative support for the planning, implementation, and evaluation of NHS projects.
  • Develop and maintain accurate project documentation, reports, and databases.
  • Support project coordination, ensuring deadlines and key deliverables are met.
  • Assist in the implementation of service improvements, audits, and quality initiatives.
  • Maintain an effective filing system, ensuring compliance with data governance policies.
  • Attend meetings, take minutes, and distribute key action points.
  • Support the management of contracts and service agreements.

Service Coordination & Delivery

  • Ensure effective rota management, supporting workforce planning to maintain adequate staffing levels.
  • Work closely with operational teams to manage day-to-day service requirements.
  • Act as a key point of contact for internal and external stakeholders, responding to queries professionally and promptly.
  • Assist in the preparation of reports, presentations, and statistical data to support decision-making.

Governance & Compliance

  • Ensure adherence to NHS policies, guidelines, and statutory regulations.
  • Support the monitoring and reporting of Key Performance Indicators (KPIs).
  • Assist in risk assessments and incident reporting procedures.
  • Promote a culture of continuous improvement, ensuring compliance with NHS governance frameworks.

Communication & Stakeholder Engagement

  • Build and maintain effective relationships with healthcare providers, commissioners, and other key stakeholders.
  • Act as a liaison between various teams, ensuring effective information sharing and collaboration.
  • Communicate operational updates to staff, ensuring clarity and alignment with organisational objectives.

Qualifications

Essential

  • Degree or equivalent level qualification.
  • Experience in an administrative or project support role within healthcare or a similar setting.
  • Proficiency in Microsoft Office Word, Excel, Outlook, PowerPoint and project management tools.
  • Strong organisational and time management skills with the ability to prioritise workload effectively.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively as part of a team.
  • Understanding of NHS governance, data protection, and confidentiality requirements.

Desirable

  • Experience in project management or service improvement within healthcare.
  • Knowledge of workforce planning, rota management, and service coordination.
  • Familiarity with NHS policies, regulatory standards, and reporting frameworks.

Additional Information

  • This role requires flexibility to work rotational shifts, including evenings and weekends, to meet service needs.
  • The postholder may be required to travel to various locations within North East London.
  • Participation in an on-call rota may be required.
