About the Role

We are seeking a highly motivated and detail-oriented Remote Administrative Assistant to provide critical operational and client support for our fast-paced real estate business. This is a full-time, 100% remote position open to qualified candidates globally. The ideal candidate is a proactive problem-solver with exceptional organizational skills who can manage complex administrative tasks in a virtual environment.

Compensation, Schedule, and Equipment

Employment Type: Full-Time, Remote

Work Schedule: Monday to Friday, 37.5 working hours per week.

Lunch Break: A structured 1-hour lunch break is provided daily.

Equipment: The company is committed to setting you up for success and will provide all necessary IT equipment, including a laptop, monitor, and accessories.

Key Responsibilities

The Administrative Assistant will serve as the organizational backbone of the business, focusing on seamless operations and high-quality support. Responsibilities include:

  • Transaction Coordination Support: Assist with the organization and tracking of client files, ensuring all contracts, disclosures, and documents are filed accurately and on time in the cloud-based system.
  • Client Communication: Handle routine client and vendor inquiries via email and phone, maintaining a professional and courteous demeanor that reflects our brand’s high standards of customer service.
  • Calendar Management and Scheduling: Manage the Agent’s complex schedule, including setting appointments for client meetings, property showings, inspections, and closing dates, while proactively resolving scheduling conflicts.
  • Digital Filing and Database Maintenance:Maintain and update the Customer Relationship Management (CRM) database, ensuring all client and lead information is current and accurate.
  • Administrative Tasks: Draft professional correspondence, prepare basic reports, manage virtual files, and assist with light marketing activities (e.g., scheduling social media posts).
  • Problem-Solving: Serve as the first point of contact for operational challenges, using excellent problem-solving skills to find effective and efficient solutions.
