Job Description for Service Administrative Assistant
To provide administrative assistance within the Service Team. This is an important role to assist primarily in supporting the workload of the Service and Compliance Manager by providing professional administrative support.

General responsibilities will include:
- Assisting the Service and Compliance Manager to ensure service projects, engineering maintenance visits and contract renewals are processed in an accurate and timely manner
- Maintaining and creating electronic customer records
- Liaising with customers by phone and email
- Liaising with suppliers by phone and email
- General administrative tasks
Accountabilities & Responsibilities
Administrative Tasks – Service Dept
- Assist with ordering parts and raising related supplier purchase orders
- Assist with sending order confirmations to customers
- Assist with setting up new customer service records and customer files
- Assist with preparing maintenance contract documentation
- Assist with scheduling maintenance visits with customer, setting up tasks on electronic engineers’ diaries and ensuring the engineers have all relevant documents
- Assist with chasing confirmation of maintenance visits, maintenance contracts and remedial visits
- Assist with closing completed maintenance reports and updating customer records
- Assist with closing completed remedial works and updating customer records
Relationships and Contacts
Reports to: Service and Compliance Manager
Working with Service Team
Organisation Relationships
Frequent contact with field engineers, sub-contractors
Works closely with key managers, particularly Operations/Service.
External Business Relationships
Regular telephone/email contact with external customers and suppliers.
In addition to the above the Service Administrative Assistant is required to comply with all and any reasonable requests made by the Managing Director and/or Service and Compliance Manager
