About the Role
We’re seeking a highly organised and proactive Virtual Assistant / Client Success Manager to look after a portfolio of our clients, ensuring their projects run smoothly and are delivered on time. This role is perfect for someone who thrives in a remote work environment, takes ownership of outcomes, and can build strong client relationships. You will act as the main point of contact for your assigned clients, keeping communication clear, tracking progress, and making sure everything stays on schedule.
Key Responsibilities
- Serve as the dedicated point of contact for an assigned group of clients, building strong and professional relationships.
- Oversee project timelines, ensuring tasks are completed on time and to a high standard.
- Coordinate between clients, our internal team, and freelancers to ensure smooth workflow and communication.
- Monitor project progress, proactively identifying potential issues or delays and resolving them before they impact delivery.
- Keep detailed and up-to-date project documentation, timelines, and status reports.
- Manage calendars, schedule meetings, and prepare agendas for client check-ins and internal reviews.
- Follow up with clients and team members to ensure next steps are clearly defined and completed.
- Provide administrative and organisational support to ensure our business operates efficiently.
Requirements
- Proven experience in client management, project coordination, or similar administrative roles.
- Excellent organisational skills with the ability to manage multiple projects and priorities.
- Strong written and verbal communication skills, with a friendly yet professional approach.
- Proficiency in Google Workspace, Microsoft Office Suite, and project management tools (experience with Trello, Asana, or Monday.com is a plus).
- A proactive problem-solver with attention to detail and a focus on results.
- Comfortable working remotely, with the discipline to work independently while staying connected with the team.
